Plan with confidence

Questions should be answered before the deposit.

The practical details corporate planners, venues, couples and hosts need.

How far ahead should I book?

Earlier is better for popular dates. Send the request as soon as the date and approximate guest count are known. We will confirm availability within one business day.

Does a deposit hold the date?

Yes. A date is reserved only after the proposal is accepted and the deposit stated in that proposal is paid. An inquiry or verbal conversation does not hold a date.

Can you provide a COI, W-9 or invoice?

Corporate and venue requirements are reviewed during quoting. Tell us if your organization needs a certificate of insurance, W-9, vendor onboarding or specific invoice terms so we can confirm what is available before you commit.

What space and power do you need?

Needs vary by menu and volume. We confirm footprint, power, water, parking, load-in and guest flow with the host before the event. A level, accessible service area is essential.

What happens for an outdoor event or bad weather?

Outdoor service needs a safe, level and sheltered backup location. We may pause, move or reschedule service when weather or site conditions are unsafe. Your accepted proposal controls the final cancellation and rescheduling terms.

Can you handle allergens or dairy-free requests?

Milk alternatives and menu adjustments may be available. Our setup is not an allergen-free kitchen, so cross-contact is possible. Share allergies before booking so we can answer honestly and plan safely.

Are tax, service fees and gratuity included?

Setup, service and cleanup are included as described in the package. Applicable sales tax is shown separately. Any approved travel or custom-production charge is disclosed before deposit. Gratuity is optional.

Do venues require permits?

Requirements depend on the venue, event type and jurisdiction. The host is responsible for venue approval; we coordinate operational details and will flag questions that need confirmation.

How many drinks should I plan?

Guest count, event length, menu variety and whether drinks are the main refreshment all matter. We recommend a quantity during quoting instead of forcing every event into the same ratio.

Do you have a storefront?

No. Matcha Mamiii is a mobile event bar serving private bookings and selected public pop-ups across Tampa Bay. See Find Us for posted public dates.
