The Quote Says “Mobile Matcha Cart.” What Actually Arrives?
Before a guest sees the first layered drink, someone has already planned the menu, batched syrups, loaded the bar, secured the ice and worked backward from the event’s first pour. “Cart” describes the object. It does not describe the job.

The concise answer: a Matcha Mamiii hosted package includes menu and volume planning, the ingredients named in the proposal, cups, ice, the mobile bar setup, onsite drink service and cleanup. The written quote should also identify the guest estimate, service window and any separate tax, travel, staffing, venue or custom-production charge before the deposit is paid.
The bar begins before it reaches the venue
Mobile beverage catering is not the same transaction as picking up finished drinks from a café. The host is buying preparation, transportation, a functioning service station and a team that can make drinks in front of guests. The equipment must arrive intact; cold ingredients must stay cold; the menu must fit the promised service pace; and the setup has to look intentional in the room.
Nationally, specialty coffee and out-of-home coffee drinking are both strong: the National Coffee Association’s September 2026 report said 48% of U.S. adults had specialty coffee in the past day, while out-of-home consumption among past-day coffee drinkers reached 38%. That is national context—not a Tampa booking forecast—but it helps explain why event hosts increasingly treat a crafted beverage bar as part of the experience rather than a tray of refreshments.
What the standard hosted experience covers
| Included element | What it means for the host |
|---|---|
| Menu and volume planning | The drink list and expected quantity are shaped around the guest count, timing and event type. |
| Ingredients, cups and ice | The working supplies named in the proposal travel with the bar; hosts are not asked to shop for basic drink components. |
| Mobile setup | The service station, equipment and presentation are loaded in, assembled and made guest-ready. |
| Onsite hospitality | Drinks are prepared during the agreed service window rather than delivered in advance. |
| Cleanup and breakdown | The team closes the station, packs equipment and removes the service setup after the final pour. |
The exact drink selection still matters. A focused two-drink menu and a broader matcha-and-espresso menu do not require the same preparation. See the current drink menu and our guide to building an event menu without slowing the line.
What should be itemized separately
A transparent quote should identify anything outside the base package before the host commits. Depending on the event, that may include approved travel, additional service hours, extra staffing, custom cups or signage, branded activations, unusual load-in requirements or venue-imposed costs. Applicable sales tax should also be visible rather than appearing as a surprise at the end.
Matcha Mamiii’s hosted packages currently start at $375. Many events plan around roughly $15–$35 per expected guest, but those figures are planning guidance—not an automatic per-person rate. Guest flow, duration, menu, travel and styling determine the final proposal. Review the pricing ranges and live estimator before requesting the exact number.
Service time and setup time are different clocks
If the proposal includes 90 minutes of service, guests should have that 90-minute ordering window. Loading, setup and breakdown are operational time around it. The right service window depends on whether guests arrive together or drift through; yesterday’s service-time guide compares 60-, 90- and 120-minute formats.
The venue also changes the work behind the bar. Parking distance, elevators, stairs, power, shelter and weather backup should be confirmed in advance. Use the Tampa venue-requirements checklist to prevent avoidable surprises.
The five-line test for any mobile bar quote
- How many guests and drinks is the quote built around?
- Which drinks, milks and add-ons are included?
- How long can guests order?
- Are setup, cleanup, ice, cups and travel included?
- What holds the date, and what happens if plans or weather change?
If those answers are written down, the host can compare experiences instead of comparing one unexplained total with another. Corporate planners can also review Matcha Mamiii’s corporate event service and vendor-readiness details before internal approval.
